Searching in Gale Admin

Using the Quick Search Box

When you know all or part of an account name or ID, you can use the Search for name or ID box, also known as the Quick Search box.

NOTE: Users with 'Report Only' access cannot perform searches. Learn more about user roles.

  1. Type one or more words or alphanumeric characters into the Quick Search box at the top of the page, and then type Enter or click the magnifying glass icon.
  2. The Search Results page is displayed. Note that the Quick Search box only searches active accounts.
    • The most relevant results are displayed first. The total number of results found is displayed.
    • Your results will include only the active accounts that you are authorized to access.
    • Click a column heading to sort the list. The first click sorts in ascending order; the second click toggles to descending order.
  3. To select an account, click its ID or Name. This will open the account's corresponding Summary page.

Quick Search looks for your search terms anywhere within the name and ID fields. For example, a search for tho may return the following results:

  • University of St. Thomas
  • Berthos Vos Elementary School
  • Thorpe Creek Library
  • Hawthorne Center Law Library
  • as well as any IDs that contain tho even if the name does not

Advanced Search

Advanced Search provides more options to search for consortia, institutions and locations than the Quick Search box. For example, you can search for inactive accounts, or search for a location by its referring URL or by contact name.

NOTE: Users with 'Report Only' access cannot perform searches. [Learn more about user roles]

  1. Click advanced search on the page banner.
  2. The Advanced Search page is displayed. Select the radio button that corresponds to the type of account you are searching for: Location, Institution or Consortium. Only those account levels that you are authorized to access will be displayed.
  3. The remaining fields on the page are enabled or disabled depending on the Search Type selected. Enter your search criteria into one or more search fields, as described in the table below.
  4. Click Search. (The Reset Fields button will clear any data you have entered.)
  5. The Search Results page is displayed.
    • The most relevant results are displayed first. The total number of results found is displayed.
    • Your results will include only the accounts that you are authorized to access.
    • Click a column heading to sort the list. The first click sorts in ascending order; the second click toggles to descending order.
  6. To select an account, click its ID or Name. This will open the account's corresponding Summary page.

TIP: If you performed an Exact Match search, you will go directly to the account's Summary page if a match is found.

Advanced Search Fields

Advanced Search Field Description Works with these Search Types
L=Location, I=Institution, C=Consortium
Search Type Select the radio button that corresponds to the type of account you are searching for: Location, Institution or Consortium. This is a required field.  
Name Enter all or part of the account name; you must enter at least 2 characters. Functions as a 'begins with' search. L, I, C
ID / Exact Match Enter all or part of the account ID number; you must enter at least 2 characters. Functions as a 'begins with' search.

When you enter the complete ID and want to go directly to the Summary page, check the Exact Match box. All other search fields will be ignored.

Account Number Enter all or part of the account number. L, I, C
Status You can search for Active accounts, Inactive accounts, or Both. L, I, C
Account Type You can search for Order locations, Demo locations, or Both. L
Customer Class Indicates the location's market or type of patron, such as business, college/university library, government, hospital, or public library. L
City, State, Country, Zip Code Lets you search for a location based on its address. L
Logo Text Lets you search for a location based on the text associated with its logo. L
Contact First Name, Contact Last Name, Contact Email Lets you search for a location based on its contact person info. L
Usage Report Email Lets you search for a location based on the email address used for sending usage reports. L
Referring URL Lets you search for a location based on its Referring URL. L
Home Page URL Lets you search for a location based on its website address. L
Customer ID Lets you search for a location based on its Customer ID. L

Search Tips

Case

All searches in Gale Admin are case insensitive.

Wildcard: Underscore Character in a Search String

An underscore (_) matches any single character. For example, a Quick Search for an account name matching the search string tho_p may find the following:

  • Marian Thompson Branch Library
  • Oglethorpe High School
  • Thorp Academy
  • Edwin J. Thopp Elementary School

Range: Brackets in a Search String

Using brackets [ ] lets you specify a range of characters. For example, a Quick Search for an account name matching the search string tho[rz]p would only find names where only a letter in the range of r through z occurs after the tho and before p, such as:

  • Oglethorpe High School
  • Thorp Academy
