But My goal for you today is to understand. About the usage dashboard reports that are available, but really how to access the dashboard and where you can go if you don't know your admin credentials.

So we're going to start with the basics. Like that but also we're going to dive into the reports so you can see all the different ways that you can pull information.

The uses dashboard is a great way to not only look at the usage in your library, but also to build collections.
[00:00:48.000]
We have a lot of librarians that will use the usage dashboard to build their collections. To see what their patrons or students are interested in and looking at you get to look at top searches and ebooks that are being accessed so it's a really great visual tool.

It's a very visual, so I can't wait to show it to you and share all the information that you can find on the usage dashboard.

So let's get started. Our agenda today is to start first with an overview of the Gale Usage Dashboard.

And then we will spend. Majority of our time browsing and searching reports and exploring features. Any questions that you have?

First to access your FEL resources. This is separate than the usage dashboard. I always like to point out the Florida Live, the Florida Electronic Library website. It's a great portal.

Into all of your individual resources that you have from the Florida electronic library including all of your ebooks that you have available.

When you access the website, this is what you'll see on the homepage. And there's a lot of different options to search and find all of the content that's available.

I would like to point out that you do have a tab here for all of your ebooks but you also have an icon on the homepage and those e-books have been curated into collections for you.

So So be sure to take a look at those when you get an opportunity.

Let's talk a little bit about the gale usage dashboard.

First, I suggest getting to know your Gale customer success manager. Now that I've already mentioned them, but they really are going to be a valuable resource for you.

As you are accessing the usage dashboard and taking a look at your reports. So I suggest reaching out to them, then accessing that Gale usage dashboard, and definitely collaborate with your CSM to see.

Okay, I'm seeing a dip in usage here. What can I do to boost that usage?

And they have such great ideas. We have additional documents available. 2 of ways that you can boost your usage.

So I'll share that information with you today too. So what can Gale's usage dashboard do?

You're seeing here in this screenshot, this is when you first log in and access your account and look at your reports.

You're going to see this 2 year. Picture of usage. Now this is, I mean, I always use my colleagues account.
[00:04:04.000]
She has pretty good usage on her account. Yours is probably going to look very different than this because this is a individual employee at Gale that does have some some usage that we're able to use on our training team.

So I am using her account, but you are going to see this graph that then you are looking at session searches and retrievals.

And then below you have some metric information and you can filter that down by month, custom period or events.
[00:04:32.000]
You also are able to adjust. The period of time that you're looking at. So you may want to look at the last year or you may want to look at the last 3 months. You have some options.

In the upper right hand corner where you can up print off your reports and you can change what that format looks like too.

There's always additional filters and the ability to compare items. So you'll see that on the homepage too.

So it can give you this visual look at your usage. As I said, you can adjust this time period, but when you first log in, it's looking at the last 2 years.

So it's going, that's the graph you're going to see. And it's nice to take that bigger picture because if there are dips like we typically see sometimes dips in the summer, especially from our schools, you'll see a dip over the summer months and then it spiked back up in August.

And we see those you're able to see those trends when you see that year over year. Sometimes you'll see a huge spike and and then that's when we question like, what was happening then?

Was a research project happening? Was there a teacher that was using it our department or, you know, was this public library doing some programming and we see a bump in usage and that way we can see that it had a great effect.

On on our usage report. So. Things like that you can see those trends right from the home page So the Gale usage dashboard provides a simple graphic look at your Gale resource usage over time.

It provides a straightforward view of how your users are engaging with your Gale content and includes easy-to-use filters to make quick comparisons.

And I talked a few about those. A few of those already. You can even download or print charts and graphs to use as compelling visuals and presentations and reports.

All right, so with that, I'm going to share my screen and we're going to log in and run some usage.

Reports. Make sure I'm on the right screen here. There we go. Okay, so you will need these are the admin credentials that you're going to need, your username and password.

And again, this is for the administrator at your building, you see we have that same information I just shared with you.

Now I'm going to quickly log in. Now I do have what we call super credentials.

So I can see all accounts where when you're logging in, you will see mainly your account.

So it may look a little bit different for you, but if you have maybe a multiple branches or if you're at a district and you have multiple schools, you'll be able to see all of those accounts.

That will all roll up to your district account or that parent account. So even at our academic library, same idea.

You might have one main library, but your law library has a different location ID. And so their information will roll up.
[00:08:59.000]
To your main account. So you may have something similar to my admin credentials. But I am going to look specifically by and you can look by your location ID, a name or an account number.

And I am going to as I mentioned, use my colleagues. And this is her location ID and all I have to do is click my little.

Magnifying glass and it takes me to her account.
[00:09:25.000]
So you may log in and see your account and that's the only one that you have access to because it's one maybe it's one public library or if you are again at the district level.

And you log in and then you'll see all of your account options there. Below your district.

Also, if you're at an individual school, I either higher ed or also a K 12 school and you log in you would just see information for your school not every school in your district.

Okay, your admin credentials are specific to your account. So hopefully that helps. Make a little bit more sense about that.

Alright, so looking at our usage dashboard. Again, it takes us first to that overview page.

And you have sessions, searches, and retrieval. What we like to see is this increase in retrievals and here's why.

Now, on Stacy's I would expect to see a lot of sessions and searches because she's a trainer and she is probably using her account.
[00:10:24.000]
To model things for you and maybe not retrieving as much, but jumping to another subject. But what we like to see is on our on our accounts is those retrievals a little higher, meaning that your users are finding content quicker.

Meaning that also our product managers that are working hard. And our developers to make things very easily accessible and finable.
[00:10:52.000]
And our everything on the backside of our resources is working so that we're seeing that our users are finding content quicker, right?

So what's the difference between sessions, searches, and retrieval. And I, this great analogy I just heard recently, if you imagine going into a grocery store.

So you're going into a grocery store, you walk into the grocery store, that's your session.
[00:11:15.000]
You're searching down the aisles looking for maybe a box of cereal. That's your search.
[00:11:21.000]
You pick up that box of cereal, put it in your cart. That's a retrieval.
[00:11:26.000]
So hopefully that helps you understand a little bit. I think it's a great analogy to talk about session searches and retrievals and that understanding of.

What they are and why you see that, you know, we really do want to see those retrievals.
[00:11:41.000]
It's great when you see those spike up and don't be concerned. It's like, oh, my sessions dropped.
[00:11:45.000]
That's okay because you're seeing the retrievals have increased. Okay, some things you can do here on the homepage.
[00:11:52.000]
Let's start at the top. You can change your current period. This is November of 22.
[00:11:53.000]
To October of 23. Now we it does take a couple days for our no well this is October's in so we won't see it November numbers until the end or the beginning of December.

So it takes, I think they it's a day or 2 after the first day of the month.
[00:12:14.000]
That will see those numbers available. But I can change this period this period of time. Very easily if I want to click on the calendar here, I can go back to 22 and I can go back even further if I want, but I have that option to do that.

I also can change my metrics. So if I wanted to include full text minutes, if you have.

EBSCO Discovery Services, if you're using those smart links, you can pull that information in 2.

But session searches and retrieval are defaulted.

I have some options here if I want to show the data in different chart forms.

I also can print this page off. So I have that option also. The first one is the line chart.

I always want to click apply if I've made any changes. I also have more filters and the ability to compare.
[00:13:12.000]
So if I wanted to compare one year over the last, I can do that or maybe a lot of times we'll look at the last 3 months, like we'll look at 90 days.

Especially if we've done a training and we look 90 days later, what have we seen? Is there a change year over year?
[00:13:28.000]
So you can look at think about that, look at certain time periods, maybe you're running some certain programming and you want to compare.
[00:13:35.000]
The programming, you know, maybe it's summer reading. And you're showing your, Gale resources that you have available like books and authors or, Gale resources that you have available like books and authors or Gale and Context Elementary, great resources for summer reading.

Middle school, you also have access to from the Florida Electronic Library and you want to look at your programming around those resources.
[00:13:55.000]
That's something you can do is look at those time periods. I can also add more filters.
[00:14:03.000]
So I can select and she has all of the resources, but I can individually set. Select certain products if I want.
[00:14:09.000]
Right now they're all automatically selected. Then below I have some metric views where you can see this is November to October so the last year but I can look at by month.

I can put in a custom period. Or any events. So if there's again an event that happened, I can utilize that information there too.

Okay, so that's our homepage as soon as you log in this is what you'll see Now if I go to our reports tab and let me know if you have any questions.

If I go to our reports tab, now I am again on my colleagues account here. So she has is going to have a few more reports down here.

What I did is I opened up the Florida Electronic Libraries Report. So this is probably more of what you're going to see.

Now you may have additional third-party resources that you've purchased. But Florida Electronic Library has, Gale presents Peterson's career prep.

And gale business, demographics, demographics now. So these are 2 additional reports that you're going to see from the Florida electronic library.

I just wanted to point out that it will look when you click on that reports tab it'll look more like this.

With these additional ones at the bottom. As compared to Cece's which has a lot of our resources here at the bottom.

Okay, but we'll still take a look at those individual reports. So looking at the reports, this is where you're going to get a lot of great information, a lot of insights where I can look at different locations.

So here's there's just one library. But if I were a district or a higher ed library that had multiple libraries on campus or we have a lot of public libraries that have multiple.

Then I could see all of those locations and how they were doing with their session searches and retrieval.

Again, I have filters and I have the ability to compare. So all those same tools are here.

I also can download this as a CSV file and I can print this off.

So that's for the locations. Looking at the products, this is going to show me. The products that are being utilized the most, you can see the top 10 here.

That are being utilized. And then I can see on the right hand side the session searches and retrievals.

Gale one file news is being used a lot. Sometimes maybe it's a journal report that's set up.
[00:16:40.000]
You can set up journal in your one file products. You can set up journal reports. Or search alerts.
[00:16:48.000]
So you can, I shouldn't say journal alerts, it's a journal alert or a search alert.
[00:16:49.000]
And the search alerts are really great because you can, you know, do a search within the resource and set it up so that it hits your your browser every morning.

If you want it to or once a week, which actually I should do a little bit of that. On my own account.
[00:17:03.000]
But you can see those products that are being used the most and also which ones need a boost. Which one should we take a look at?
[00:17:11.000]
Which one should we highlight and work on? Maybe we want to pull them into our programming. Always good, good tool to have.

Then we have your ebook titles. And you can see all of the ebook titles that you are utilizing here.

In those ebook titles, you can see how many hits it has, if there's been any printed like you can print off from your ebooks, maybe you'll you'll see that it.

Maybe folks are doing that and you'll see that information here. And then you also have retrievals listed at the end.

And then if I go back to those reports. I have ebook titles by location. Now there's just one location, but you would see if you had different locations that were accessing.

You can see which titles would be or are being accessed. Back to our reports again. Literature criticism is not something you have, but you do have, let's see, you do have archives unbound.

I don't know if she has any. Information to show on this one we might have a 0 on this.

But you do have the, one, okay, so we, there's not a lot to show here, but there are some available that Stacy has.

Let me take a look at Florida's. Because you have a unique one. In Florida that shows up under archives unbound.

It's taking a bit to load. Okay, I'll come back to it and take a peek in a moment.

As it's loading. Okay, the next grouping is more information. This is on where the top is looking more at locations and products.

Here we're still looking at products but it's a little bit different view where you have more of a product summary.

Happening here. And again, session searches and retrievals are on the right hand side. I have 135 rows that are available, but I can add in more filters or I can filter differently if I want to.

Again, I have that current period where I can make some changes. So I can see that archives unbound is getting a lot of sessions and searches, not a lot of retrieval, probably because she was doing some training utilizing that resource.

So that doesn't surprise me. I'm coming from a trainers account that you would see that.

Going back to our reports.

Month over month is a great way to take a look at what resources are trending. So let me add some filters here.

Actually that's not what I wanna do. I was going to. Oh, I'm sorry.

I, I have to go into another report. I was going to select. Which resources I wanted to take a look at.
[00:19:52.000]
But this is going to give you a long list of all of your resources that you have and show that month over month in numbers because when we look at it in a graph.

It's nice to see also where the retrievals were at each month and there's also you can see the spikes in the graph but you might want more secure numbers where you have, you know, there were 2 sessions in February of last year.

With this archival product that that she has access to.

And then again month over month by location and products. So which which locations are using which products? Being that it's only one account, I'm going to see her account all the way down the page.

But if you had again different accounts you could see which products are being utilized the most in that district and or in that at that school or at that library and what's really great about that is you can collaborate with them and ask questions like how what it you know who's using this product in your building and and let us know how it's being used.

There's no KPI information available. So we're going to jump over that. And then top search terms.

This is probably my favorite to take a look at. And Let me expand this out to last year. And apply it.

Okay, so this is the archives unbound. Let me go back to. My reports in Florida and see.

Top search terms. Kind of jumping between the 2. Cause I wasn't sure how much would be in one and as compared to the other.

So. In your when you click on that top search terms, I'd love to take a look at these for individual accounts because you have this great word cloud.

Over here to the right hand side. When I see the New York Times listed as a top search term, that's telling me that folks don't necessarily aren't using the resource correctly.

And I see this on some accounts. What I mean by that is they're searching for the New York Times in the basic search bar where they actually, if they went into publication search and looked for the New York Times, that would be a better path.
[00:22:20.000]
And then they would find articles and information about the New York Times. So when you're asking when when your patrons are doing that it it is always great to share with them either the advanced search or the publication search so they can find everything.
[00:22:33.000]
On the New York Times because we do have a very vast collection of content from that publisher. So I do suggest that if you do see that on your account, if they're searching for a publication, you might want to have some information about doing a publication search rather than searching for the new, you know, the title or something related to the New York Times because it's not necessarily going to pull back exactly what they're
[00:23:03.000]
looking for. But you can see which resources are being used the most at your library. And then as I look below, here are some search terms.
[00:23:12.000]
Cats and dogs are always number one and 2 with our elementary. So So it's always fun to see those, show up because they do, it's, this is very, what we usually see with Gale In context elementary.
[00:23:28.000]
Always number ones and twos, but looks like bats is trending too with elementary. So you can see some of these, these top and these are topic pages that are being accessed when you see that code next to it in parentheses, that's what that means.

It just means that topic pages are being accessed. And here's the thing, there may be searching for the New York Times, they are finding stuff.

I just wished that they would go into the publication, you know, or look for, but it is being used and you may want to take a peek at, you know, which accounts are using general one file or the computer science one file resource and take a peek and see if they're using them a lot.

They might be the ones that are doing that search on the New York Times. As I scroll down, you can see this goes to 20 entries, but I can.

I should be able to adjust it at the under the more filters. More filters too gives me the ability to select certain resources.

So if I wanted to choose general one file and apply that. It'll look at the top search terms.

In that one resource. And you can see there's the New York Times. So. Looks like a couple different publications are being searched for, but we've got some other social media health issues showing up in there.

But I really love to utilize that. That tool like if I were to pull in and Gale In Context Elementary and apply.

So now I'm looking at General One File and Gale In Context Elementary and those results that I'm seeing.

I could remove general one file. And just look at elementary by just.

Taking getting rid of that checkmark.

And then you can see, so here's a little bit better picture of what I would expect to see in those search results.

Alright, so that's under your usage reports. I'm gonna go back to Stacy's account here.

And those were tap search terms if you have any folks using a learning management system, we have the ability to pull those reports.

If you are looking at your accounts, like in your within your district, let's say, and you have multiple locations and you want to find which ones have 0 usage.

This is a great way to pull that information and know which schools you need to work with, which which librarians and media specialists may need additional support and you can help them out.

So that is a really helpful tool to have. And then you can also take a look at your accounts.

That have usage. Now I did share that you have. 2 reports, Peterson's career prep.
[00:26:15.000]
And then also demographics now. No, I think Stacey has some. She has some information here.

Not a whole lot on Petersons, but you would see here sessions, but you also have it's a little different because not only do you have sessions but if anyone's been creating a resume or going through the career searching or looking at advice, you have those different categories and you can see which ones are being accessed.

If you see a lot of folks creating a resume, then maybe having some programming around that or support around that could be really helpful or they're looking for career advice, maybe bringing in folks and speakers to talk to provide that career advice.

So it's a really helpful tool if you think about your programming in your library or at your higher ed.

Okay, oh my gosh, I have so many students that are in this resource and they're trying to build a resume.
[00:27:06.000]
I need to let our career folks know that because they have, you know, every university has such a great great career department, you could connect your library to that career.
[00:27:16.000]
And here's a tool that we have available. Same with schools. Students are always learning to create a resume for whatever it may be.
[00:27:25.000]
Maybe it's applying for college. Sometimes I know my daughter had to create a resume. To be she would wanted to be the captain of her lacrosse.

And so she had put together this little portfolio and a resume and presented it to a coach they were they were interviewed and that she did end up being a captain but she looked very professional going in I think that's a great tool I think students need to learn that at the high school level before they go on to college.

So. Just out some information on that report and the resource. I guess you got a little bit more there.

And then demographics now, let's see if she has, I know this is one of her favorite resources.

You can see some of the usage here and it just takes into those accounts what reports have been run so you can see some of the reports that are being run also looks like a lot of summaries she was running.

All right, a few other items were right towards the end of our time. I just want to point out.

So there are insights if you're looking for more information here's some very helpful tools about our reporting that you're going to find and you know if you're looking for mobile user information or you all are using your geolocation there in Florida.

So you have some insights where you can do some additional research if you have your using referring traffic like that type of information.

If you had multiple accounts you could look into different accounts but they would show up once you log in if you're the administrator over let's say your entire district you would see all those accounts you have the ability to do some comparisons also.

There's some on demand materials that are available.

And then also, global reports that are available. So this is more, I believe, as it might be more of an internal item.

But My goal for you today is to understand. About the usage dashboard reports that are available, but really how to access the dashboard and where you can go if you don't know your admin credentials.

So we're going to start with the basics. Like that but also we're going to dive into the reports so you can see all the different ways that you can pull information.

The uses dashboard is a great way to not only look at the usage in your library, but also to build collections.

We have a lot of librarians that will use the usage dashboard to build their collections. To see what their patrons or students are interested in and looking at you get to look at top searches and ebooks that are being accessed so it's a really great visual tool.

It's a very visual, so I can't wait to show it to you and share all the information that you can find on the usage dashboard.

So let's get started. Our agenda today is to start first with an overview of the Gale Usage Dashboard.

And then we will spend. Majority of our time browsing and searching reports and exploring features. Any questions that you have?

First to access your FEL resources. This is separate than the usage dashboard. I always like to point out the Florida Live, the Florida Electronic Library website. It's a great portal.

Into all of your individual resources that you have from the Florida electronic library including all of your ebooks that you have available.

When you access the website, this is what you'll see on the homepage. And there's a lot of different options to search and find all of the content that's available.

I would like to point out that you do have a tab here for all of your ebooks but you also have an icon on the homepage and those e-books have been curated into collections for you.

So So be sure to take a look at those when you get an opportunity.

Let's talk a little bit about the gale usage dashboard.

First, I suggest getting to know your Gale customer success manager. Now that I've already mentioned them, but they really are going to be a valuable resource for you.

As you are accessing the usage dashboard and taking a look at your reports. So I suggest reaching out to them, then accessing that Gale usage dashboard, and definitely collaborate with your CSM to see.

Okay, I'm seeing a dip in usage here. What can I do to boost that usage?

And they have such great ideas. We have additional documents available. 2 of ways that you can boost your usage.

So I'll share that information with you today too. So what can Gale's usage dashboard do?

You're seeing here in this screenshot, this is when you first log in and access your account and look at your reports.

You're going to see this 2 year. Picture of usage. Now this is, I mean, I always use my colleagues account.
[00:04:04.000]
She has pretty good usage on her account. Yours is probably going to look very different than this because this is a individual employee at Gale that does have some some usage that we're able to use on our training team.

So I am using her account, but you are going to see this graph that then you are looking at session searches and retrievals.

And then below you have some metric information and you can filter that down by month, custom period or events.
[00:04:32.000]
You also are able to adjust. The period of time that you're looking at. So you may want to look at the last year or you may want to look at the last 3 months. You have some options.

In the upper right hand corner where you can up print off your reports and you can change what that format looks like too.

There's always additional filters and the ability to compare items. So you'll see that on the homepage too.

So it can give you this visual look at your usage. As I said, you can adjust this time period, but when you first log in, it's looking at the last 2 years.

So it's going, that's the graph you're going to see. And it's nice to take that bigger picture because if there are dips like we typically see sometimes dips in the summer, especially from our schools, you'll see a dip over the summer months and then it spiked back up in August.

And we see those you're able to see those trends when you see that year over year. Sometimes you'll see a huge spike and and then that's when we question like, what was happening then?

Was a research project happening? Was there a teacher that was using it our department or, you know, was this public library doing some programming and we see a bump in usage and that way we can see that it had a great effect.

On on our usage report. So. Things like that you can see those trends right from the home page So the Gale usage dashboard provides a simple graphic look at your Gale resource usage over time.

It provides a straightforward view of how your users are engaging with your Gale content and includes easy-to-use filters to make quick comparisons.

And I talked a few about those. A few of those already. You can even download or print charts and graphs to use as compelling visuals and presentations and reports.

Now I'm going to quickly log in. Now I do have what we call super credentials.

So I can see all accounts where when you're logging in, you will see mainly your account.

So it may look a little bit different for you, but if you have maybe a multiple branches or if you're at a district and you have multiple schools, you'll be able to see all of those accounts.

That will all roll up to your district account or that parent account. So even at our academic library, same idea.

You might have one main library, but your law library has a different location ID. And so their information will roll up.
[00:08:59.000]
To your main account. So you may have something similar to my admin credentials. But I am going to look specifically by and you can look by your location ID, a name or an account number.

And I am going to as I mentioned, use my colleagues. And this is her location ID and all I have to do is click my little.

Magnifying glass and it takes me to her account.
[00:09:25.000]
So you may log in and see your account and that's the only one that you have access to because it's one maybe it's one public library or if you are again at the district level.

And you log in and then you'll see all of your account options there. Below your district.

Also, if you're at an individual school, I either higher ed or also a K 12 school and you log in you would just see information for your school not every school in your district.

Okay, your admin credentials are specific to your account. So hopefully that helps. Make a little bit more sense about that.

Alright, so looking at our usage dashboard. Again, it takes us first to that overview page.

And you have sessions, searches, and retrieval. What we like to see is this increase in retrievals and here's why.

Now, on Stacy's I would expect to see a lot of sessions and searches because she's a trainer and she is probably using her account.

To model things for you and maybe not retrieving as much, but jumping to another subject. But what we like to see is on our on our accounts is those retrievals a little higher, meaning that your users are finding content quicker.

Meaning that also our product managers that are working hard. And our developers to make things very easily accessible and finable.
[00:10:52.000]
And our everything on the backside of our resources is working so that we're seeing that our users are finding content quicker, right?
[00:11:00.000]
So what's the difference between sessions, searches, and retrieval. And I, this great analogy I just heard recently, if you imagine going into a grocery store.

So you're going into a grocery store, you walk into the grocery store, that's your session.
[00:11:15.000]
You're searching down the aisles looking for maybe a box of cereal. That's your search.
[00:11:21.000]
You pick up that box of cereal, put it in your cart. That's a retrieval.
[00:11:26.000]
So hopefully that helps you understand a little bit. I think it's a great analogy to talk about session searches and retrievals and that understanding of.

What they are and why you see that, you know, we really do want to see those retrievals.
[00:11:41.000]
It's great when you see those spike up and don't be concerned. It's like, oh, my sessions dropped.
[00:11:45.000]
That's okay because you're seeing the retrievals have increased. Okay, some things you can do here on the homepage.
[00:11:52.000]
Let's start at the top. You can change your current period. This is November of 22.
[00:11:53.000]
To October of 23. Now we it does take a couple days for our no well this is October's in so we won't see it November numbers until the end or the beginning of December.

So it takes, I think they it's a day or 2 after the first day of the month.
[00:12:14.000]
That will see those numbers available. But I can change this period this period of time. Very easily if I want to click on the calendar here, I can go back to 22 and I can go back even further if I want, but I have that option to do that.

I also can change my metrics. So if I wanted to include full text minutes, if you have.

EBSCO Discovery Services, if you're using those smart links, you can pull that information in 2.

But session searches and retrieval are defaulted.

I have some options here if I want to show the data in different chart forms.

I also can print this page off. So I have that option also. The first one is the line chart.

I always want to click apply if I've made any changes. I also have more filters and the ability to compare.

So if I wanted to compare one year over the last, I can do that or maybe a lot of times we'll look at the last 3 months, like we'll look at 90 days.

Especially if we've done a training and we look 90 days later, what have we seen? Is there a change year over year?
[00:13:28.000]
So you can look at think about that, look at certain time periods, maybe you're running some certain programming and you want to compare.

The programming, you know, maybe it's summer reading. And you're showing your, Gale resources that you have available like books and authors or, Gale resources that you have available like books and authors or Gale and Context Elementary, great resources for summer reading.

Middle school, you also have access to from the Florida Electronic Library and you want to look at your programming around those resources.
[00:13:55.000]
That's something you can do is look at those time periods. I can also add more filters.

So I can select and she has all of the resources, but I can individually set. Select certain products if I want.
[00:14:09.000]
Right now they're all automatically selected. Then below I have some metric views where you can see this is November to October so the last year but I can look at by month.

I can put in a custom period. Or any events. So if there's again an event that happened, I can utilize that information there too.

Okay, so that's our homepage as soon as you log in this is what you'll see Now if I go to our reports tab and let me know if you have any questions.

If I go to our reports tab, now I am again on my colleagues account here. So she has is going to have a few more reports down here.

What I did is I opened up the Florida Electronic Libraries Report. So this is probably more of what you're going to see.

Now you may have additional third-party resources that you've purchased. But Florida Electronic Library has, Gale presents Peterson's career prep.

And gale business, demographics, demographics now. So these are 2 additional reports that you're going to see from the Florida electronic library.

I just wanted to point out that it will look when you click on that reports tab it'll look more like this.

With these additional ones at the bottom. As compared to Cece's which has a lot of our resources here at the bottom.

Okay, but we'll still take a look at those individual reports. So looking at the reports, this is where you're going to get a lot of great information, a lot of insights where I can look at different locations.

So here's there's just one library. But if I were a district or a higher ed library that had multiple libraries on campus or we have a lot of public libraries that have multiple.

Then I could see all of those locations and how they were doing with their session searches and retrieval.

Again, I have filters and I have the ability to compare. So all those same tools are here.

I also can download this as a CSV file and I can print this off.

So that's for the locations. Looking at the products, this is going to show me. The products that are being utilized the most, you can see the top 10 here.

That are being utilized. And then I can see on the right hand side the session searches and retrievals.

Gale one file news is being used a lot. Sometimes maybe it's a journal report that's set up.

You can set up journal in your one file products. You can set up journal reports. Or search alerts.

So you can, I shouldn't say journal alerts, it's a journal alert or a search alert.
[00:16:49.000]
And the search alerts are really great because you can, you know, do a search within the resource and set it up so that it hits your your browser every morning.

If you want it to or once a week, which actually I should do a little bit of that. On my own account.

But you can see those products that are being used the most and also which ones need a boost. Which one should we take a look at?

Which one should we highlight and work on? Maybe we want to pull them into our programming. Always good, good tool to have.

Then we have your ebook titles. And you can see all of the ebook titles that you are utilizing here.

In those ebook titles, you can see how many hits it has, if there's been any printed like you can print off from your ebooks, maybe you'll you'll see that it.

Maybe folks are doing that and you'll see that information here. And then you also have retrievals listed at the end.

And then if I go back to those reports. I have ebook titles by location. Now there's just one location, but you would see if you had different locations that were accessing.

You can see which titles would be or are being accessed. Back to our reports again. Literature criticism is not something you have, but you do have, let's see, you do have archives unbound.

I don't know if she has any. Information to show on this one we might have a 0 on this.

But you do have the, one, okay, so we, there's not a lot to show here, but there are some available that Stacy has.

Let me take a look at Florida's. Because you have a unique one. In Florida that shows up under archives unbound.

Happening here. And again, session searches and retrievals are on the right hand side. I have 135 rows that are available, but I can add in more filters or I can filter differently if I want to.

Again, I have that current period where I can make some changes. So I can see that archives unbound is getting a lot of sessions and searches, not a lot of retrieval, probably because she was doing some training utilizing that resource.

So that doesn't surprise me. I'm coming from a trainers account that you would see that.

Going back to our reports.

Month over month is a great way to take a look at what resources are trending. So let me add some filters here.

Actually that's not what I wanna do. I was going to. Oh, I'm sorry.

I, I have to go into another report. I was going to select. Which resources I wanted to take a look at.

But this is going to give you a long list of all of your resources that you have and show that month over month in numbers because when we look at it in a graph.

It's nice to see also where the retrievals were at each month and there's also you can see the spikes in the graph but you might want more secure numbers where you have, you know, there were 2 sessions in February of last year.

With this archival product that that she has access to.

And then again month over month by location and products. So which which locations are using which products? Being that it's only one account, I'm going to see her account all the way down the page.

But if you had again different accounts you could see which products are being utilized the most in that district and or in that at that school or at that library and what's really great about that is you can collaborate with them and ask questions like how what it you know who's using this product in your building and and let us know how it's being used.

Top search terms. Kind of jumping between the 2. Cause I wasn't sure how much would be in one and as compared to the other.

So. In your when you click on that top search terms, I'd love to take a look at these for individual accounts because you have this great word cloud.

Over here to the right hand side. When I see the New York Times listed as a top search term, that's telling me that folks don't necessarily aren't using the resource correctly.

And I see this on some accounts. What I mean by that is they're searching for the New York Times in the basic search bar where they actually, if they went into publication search and looked for the New York Times, that would be a better path.
[00:22:20.000]
And then they would find articles and information about the New York Times. So when you're asking when when your patrons are doing that it it is always great to share with them either the advanced search or the publication search so they can find everything.

On the New York Times because we do have a very vast collection of content from that publisher. So I do suggest that if you do see that on your account, if they're searching for a publication, you might want to have some information about doing a publication search rather than searching for the new, you know, the title or something related to the New York Times because it's not necessarily going to pull back exactly what they're
[00:23:03.000]
looking for. But you can see which resources are being used the most at your library. And then as I look below, here are some search terms.
[00:23:12.000]
Cats and dogs are always number one and 2 with our elementary. So So it's always fun to see those, show up because they do, it's, this is very, what we usually see with Gale In context elementary.

Always number ones and twos, but looks like bats is trending too with elementary. So you can see some of these, these top and these are topic pages that are being accessed when you see that code next to it in parentheses, that's what that means.

It just means that topic pages are being accessed. And here's the thing, there may be searching for the New York Times, they are finding stuff.

I just wished that they would go into the publication, you know, or look for, but it is being used and you may want to take a peek at, you know, which accounts are using general one file or the computer science one file resource and take a peek and see if they're using them a lot.

They might be the ones that are doing that search on the New York Times. As I scroll down, you can see this goes to 20 entries, but I can.

I should be able to adjust it at the under the more filters. More filters too gives me the ability to select certain resources.

So if I wanted to choose general one file and apply that. It'll look at the top search terms.

In that one resource. And you can see there's the New York Times. So. Looks like a couple different publications are being searched for, but we've got some other social media health issues showing up in there.

But I really love to utilize that. That tool like if I were to pull in and Gale In Context Elementary and apply.

So now I'm looking at General One File and Gale In Context Elementary and those results that I'm seeing.

I could remove general one file. And just look at elementary by just.

Taking getting rid of that checkmark.

And then you can see, so here's a little bit better picture of what I would expect to see in those search results.

And those were tap search terms if you have any folks using a learning management system, we have the ability to pull those reports.

If you are looking at your accounts, like in your within your district, let's say, and you have multiple locations and you want to find which ones have 0 usage.

This is a great way to pull that information and know which schools you need to work with, which which librarians and media specialists may need additional support and you can help them out.

So that is a really helpful tool to have. And then you can also take a look at your accounts.

That have usage. Now I did share that you have. 2 reports, Peterson's career prep.

And then also demographics now. No, I think Stacey has some. She has some information here.

Not a whole lot on Petersons, but you would see here sessions, but you also have it's a little different because not only do you have sessions but if anyone's been creating a resume or going through the career searching or looking at advice, you have those different categories and you can see which ones are being accessed.

If you see a lot of folks creating a resume, then maybe having some programming around that or support around that could be really helpful or they're looking for career advice, maybe bringing in folks and speakers to talk to provide that career advice.

So it's a really helpful tool if you think about your programming in your library or at your higher ed.

Okay, oh my gosh, I have so many students that are in this resource and they're trying to build a resume.

I need to let our career folks know that because they have, you know, every university has such a great great career department, you could connect your library to that career.
[00:27:16.000]
And here's a tool that we have available. Same with schools. Students are always learning to create a resume for whatever it may be.

Maybe it's applying for college. Sometimes I know my daughter had to create a resume. To be she would wanted to be the captain of her lacrosse.

And so she had put together this little portfolio and a resume and presented it to a coach they were they were interviewed and that she did end up being a captain but she looked very professional going in I think that's a great tool I think students need to learn that at the high school level before they go on to college.

So. Just out some information on that report and the resource. I guess you got a little bit more there.

And then demographics now, let's see if she has, I know this is one of her favorite resources.

You can see some of the usage here and it just takes into those accounts what reports have been run so you can see some of the reports that are being run also looks like a lot of summaries she was running.

So there are insights if you're looking for more information here's some very helpful tools about our reporting that you're going to find and you know if you're looking for mobile user information or you all are using your geolocation there in Florida.

So you have some insights where you can do some additional research if you have your using referring traffic like that type of information.

If you had multiple accounts you could look into different accounts but they would show up once you log in if you're the administrator over let's say your entire district you would see all those accounts you have the ability to do some comparisons also.

There's some on demand materials that are available.

And then also, global reports that are available. So this is more, I believe, as it might be more of an internal item.

If you log in to your support site with your location, if you don't know your location ID, that's okay.

We have a find my location option on the Gale Support site. So if you do log in to your support site with your location, your customer success managers information will pop right up there on the page and you can send them an email or book an appointment right on their calendar and they love it when you do that because they have that time set aside.
